Deputy Communications Manager

The Deputy Communications Manager is a key part of the Communications team that includes Marketing, Development and ICT. The Communications team develops and delivers projects and resources that increase the organisation’s profile, maintains existing customers and builds new audiences.

Position: Deputy Communications Manager

Grade: 3

Salary: circa £21K pa

Responsible to: Communications & Marketing Manager

Purpose of Job:

As Deputy Communications Manager you will work closely with the Programming Department and assist in the promotion of Watershed, and all aspects of its programme and activities. You will ensure that a constant flow of accurate information is exchanged across the Communications Department, other departments within Watershed and external stakeholders and audiences. You will have responsibility for the upkeep of the website, the mailing lists and the department’s internal design requirements and signage around the building. You will also have particular responsibility for analysing customer data to maximise the organisation’s communication methods.

Principal Responsibilities:

  • Assist the Communications & Marketing Manager in all aspects of the production of print, including: copy writing, editing, proofreading and collecting source material.
  • Ensure that Watershed’s online communications are accurate, up to date and constantly refreshed.
  • Assist in setting up systems to enable the organisation to benefit from customer information held on the Box Office system and gathered through other means (e.g. comments cards/ online surveys, focus groups etc).
  • Write accurate and lively copy for press releases, flyers, adverts and the web site.
  • Edit and proofread copy.
  • Assist with the PR for Watershed’s extensive programme and activities (both online and venue based).
  • Take responsibility for promotional projects, including being the lead contact point for both internal and external partners, as agreed with the Communications & Marketing Manager.
  • As required, create and design artwork (such as adverts, flyers and signage), for both internal and external use.
  • Working with the Communications Assistant, maintain signage, information and displays throughout the building.
  • Working with the Communications Assistant, provide administrative support to ensure the smooth running of the Communications Department including processing correspondence and invoices, answering telephone enquiries and keeping the office clean and tidy at all times.
  • Take responsibility for the mail out of publicity material.
  • Working with the Communications Assistant to maintain and develop all databases.
  • Attend events/screenings/receptions etc at Watershed and elsewhere – this will involve some evenings and weekends.
  • Attend/fulfil training requirements to further personal development.
  • Maintain a safe working environment for all members of staff.
  • Other duties as required.

Key Performance Indicators:

  • Keeps website consistently up to date.
  • Data is effectively analysed and information disseminated to relevant departments to inform future planning.
  • Print and promotional materials are produced to agreed schedules.
  • Databases are accurate and up-to-date.
  • Represents Watershed at events (internal and external).
  • Regular contributions are made in support of effective internal communication.
  • The information in the building is up to date.
  • Good working relationships are developed with the local media, external partners and other departments.

Person Specification:

Qualifications:

  • Educated to degree level.

Skills & Experience:

  • Experience of participating in the development and implementation of communication and marketing plans, strategies, campaigns and projects.
  • Excellent inter-personal skills with the ability to form productive, professional working relationships with a diverse range of individuals and groups.
  • Excellent communication skills, both oral and in writing, including presentations skills.
  • Excellent organisational skills.
  • Good IT ability (we are a Mac based office).
  • Ability to develop creative communication ideas and translate sometimes complex subject matter into inspiring and accessible messages.
  • Ability to work under pressure, prioritising to meet tight deadlines.
  • A flexible and positive approach to work.
  • At least three years in an Arts or Culture marketing/communications role.
  • Awareness of equal opportunities and social inclusion.
  • Ability to master and represent Watershed’s Vision and Values.
  • Able to communicate persuasively with a broad range of organisations, groups and individuals.

Terms and Conditions:

  • 39 hours per week (usually Monday to Friday but post may involve occasionally attending evening/weekend events).
  • There is a thirteen-week probationary period during which the post holder must achieve a satisfactory level of job competence.
  • 22 days holiday per annum rising to 27 after 2 years' service.
  • Staff discount on purchases in the Café/Bar and Shop.
  • 2 free cinema tickets per week (subject to availability)
  • A Stakeholder Pension Scheme is available to all Watershed staff.
  • Employees are expected to wear clothing appropriate to their post.
  • Watershed is open seven days a week, including Bank Holidays (Christmas Day and Boxing Day are the only exceptions). Watershed is a public building, which operates a diverse range of cultural and commercial activities. The post holder will need to be comfortable working in this environment
