Purpose of job

We are looking for a highly organised Creative Technology Coordinator to support the delivery of key projects arising out of Watershed’s creative technology programme. You will thrive on detail and enjoy problem solving, playing a pivotal role in ensuring smooth flow of communication across teams. Your time will be focused on the Immersive Arts programme (60%), Undershed Watershed’s new immersive gallery space (20%) and administrative support for the Executive Producer of Pervasive Media Studio (20%). 

Main responsibilities

  • Administering the Immersive Arts fortnightly Operations Group meetings, including scheduling and keeping a record of agreed actions 
  • Organising and administering an Immersive Arts ‘time bank’ offer (bookable surgeries with key members of staff across the partnership) for artists and stakeholders  
  • Supporting application processes for Immersive Arts, ensuring that materials are coordinated, information shared, timelines clear and decisions communicated across internal stakeholders  
  • Coordinating the Undershed programme; updating internal systems with accurate, clear, current and relevant information provided by the Undershed Producer (programme calendar, Priava, Trello, Patronbase etc)  
  • Communication of key operational info to internal teams in liaison with the Undershed Producer 
  • Coordinating evaluation materials for key projects, including plotting data against agreed targets  
  • Coordinating financial information for key projects, ensuring that spend is monitored accurately and budgets kept up to date 
  • Administrative support for Executive Producer including processing of invoices, scheduling meetings, and other administrative tasks as required 

Key performance indicators

  • Effective and efficient coordination of the Immersive Arts Operations Group  
  • Evaluation and financial systems are administered accurately and within agreed deadlines 
  • Internal scheduling systems are administered accurately and within agreed deadlines 
  • Administration functions and tasks are prioritised and delivered in a way that supports the work of the Executive Producer, Immersive Arts and Undershed teams  

Essential criteria

  • A keen eye for detail 
  • Clear communication skills  
  • Ability to prioritise and meet deadlines  
  • Ability to learn, manage and adapt to new systems with demonstrable skills in IT

Opening hours

At full operation, Watershed is open seven days a week, including Bank Holidays (Christmas Day and Boxing Day are the only exceptions). Watershed is a public building, which operates a diverse range of cultural and commercial activities. The post holder will need to be comfortable working in this environment.
